Ask Not What Your Client Can Do For You…

Here’s how most freelance designers attempt to raise their rates. They start with a nice, slightly timid email that goes something like this:

  • Hi so-and-so, just wanted to let you know I’ll be raising my rates.
  • Sorry to have to do this, but well, you know how it is.

Okay, maybe it’s not exactly in those words, but that’s a general idea.

There’s a reason why this doesn’t work well with many clients, and it’s not because they’re all cheapskates who don’t understand the value of your work. The reason this approach rarely succeeds is that your client has mentally locked you in as being “worth” a certain amount of money.

What’s Your Value?

They probably haven’t done this maliciously, but regardless, that’s how they see you. Your value is tied to X amount of dollars. To overcome this, you need to approach your clients from a value-based perspective rather than a money-based one.

Instead of just announcing that you’re raising your rates, think about the kind of value you can provide your clients that would make them willing to pay you more.

Client Surveys

If you don’t know the answer, ask them to fill out a client survey. If you’ve done client surveys before, make this one a bit different. In this survey, you’re trying to figure out what your client’s major concerns are in their business.

Focus on what they need and ask what you could do to make their business more successful.

A Little Bit More

After you’ve learned what, specifically, your client is looking for in terms of value, it’s time to send them an email detailing your rate change.

Gentle Reminder

First, remind your client exactly what you’ve already done to provide value. This is crucial to establishing yourself as a freelancer who has been an important asset to your client’s success. (This is your time to brag, so be specific). You didn’t just design a website, a logo, or a branded image. You revitalized their business: helped them improve their traffic flow, increased their visibility, and helped them make more money.

Based on your survey results, which hopefully you’ve done with all of your current and recent clients, you will have gotten a sense of the general things the majority of your clients are looking for. The next thing to include in your email is some sort of acknowledgment of this need.

Trial Run

This will be your ‘bait’, so to speak – you’re going to reel the client in on the strength of this next offer. If your clients are really looking for a specific way to get more Twitter followers, for example, try offering them that one service, free of charge. That’s right, this is one time where working for free will actually be a benefit.

The purpose of this offer is not to give away valuable services for free. You’ll want to restrict it to just one service offer, for a limited number of hours. Just a taste of the value they’ll be getting at your newly adjusted rate.

If this is a good client whom you’ve had a good run with, be sure to let them know that. You’ve helped them with some very important parts of their business – their online presence, their brand, their reputation with their customers. This makes you and your client part of the same money-making team.

Make The Announcement

So now you’ve detailed exactly what you’ve done for your client so far. You’ve offered to provide even more value going forward. You’ve laid the foundation to announce your new higher rate. Be clear about what your rates are now, and what they’re going to be in the near future. This is no time to get wishy-washy or timid, no excuses or apologies are necessary – or appropriate.

You work very hard to provide a valuable service to your clients. If you really believe you deserve a raise, your client will believe it as well. If you don’t believe you deserve a raise, they’ll believe that also. So be firm and give a solid ‘no’ to any offers to haggle. If this means you lose a client or two, then so be it. Perhaps you can refer them to another service provider who is more in line with their price range.

The Icing On The Cake

But don’t just stop there! There’s one more important step to clinching the deal and making your clients thrilled to give you more money. The final part of your email ought to include some sort of plan of action you intend to take in the next 2 weeks, 30 days, 3 months, or whatever block of time you feel is appropriate to the work you do.

Give your client something to look forward to, so that they can immediately see the benefit to keeping you around. How long would it take them to find another designer as organized and dedicated as you are? If they are a valuable client, they won’t be interested in finding out.

Why take time out of their schedule to find someone cheaper to do an inferior job when they have a superstar offering them the perfect solution right now? When your clients know they are getting real value, saving real time, and making real revenue, they’re less likely to quibble on price.

In Conclusion

If all of this sounds like more work than you may have signed up for in the beginning, that’s a good indication to re-evaluate your relationship to providing value for your clients. If you think about it, you’re already getting paid a certain rate for the type of work you do.

Logically, there is no reason to request more money for the exact same thing you’re doing now – going above and beyond your current level is the only way to confidently ask for a raise. As the saying goes, the more you give, the more you get; and nowhere is that more true than in the freelancer-client dynamic.

We often read articles or gather information online about achieving a balanced lifestyle. But do we really take action? Or do we just push ourselves harder to meet deadlines? Read on for some tips to help you find balance between work and life, so you can be an optimal functioning human being.

Make Time for Exercising!

Most freelancers lead a sedentary lifestyle. When you spend more than three-quarters of your waking hours sitting in front of your computer, it’s easy to become physically out of shape. We all know this can lead to health problems like cardiovascular diseases and obesity. Exercise improves your immune system, reducing your chances of falling sick!

Besides physical health, staying fit has been proven to improve mental health. Exercise can enhance your mood and cognitive functions like memory and concentration, which are crucial for work productivity.

From now on, set aside some time each day to exercise. Even if you’re short on time, try to work out for at least twenty minutes. The great thing is that exercise doesn’t have to be a chore; you can choose physical activities you enjoy and even do them with a friend. Cycling, swimming, dancing, running—the list goes on. Quality Time with Friends and Family

This is something you need to determine for yourself. If you have a family, it’s important to maintain good communication with them regularly, even daily. Being at home working on projects doesn’t mean you’re spending quality time with them. Your attention is often more on work than anything else.

However, if you set aside a bit of your working time, you’ll find that it’s well spent in the long run and truly worthwhile. Isn’t it wonderful to know we are not in this alone?

Taking a vacation is a perfect way to recharge from the drudgery of work. No matter how much you love your job, focusing on work day in and day out can drain anyone’s passion and energy.

For creative occupations like designers, it’s essential to open up your mind and perspectives to find inspiration. If you follow a rigid schedule every day and spend most of your time working at home, it’s hard to gather creative ideas. However, when you travel to a new environment, you experience a different culture and formulate new ways of thinking. You see the world in a different light and can even come to understand yourself better.

When you’re stressed by work, you can look at a picture of a Bahamas beach on your desk and imagine yourself there. You can convince yourself to work hard and endure the current stress because you’ll eventually get your well-deserved break!

One thing to note about vacations is that they should fulfill their purpose of recharging you. Make sure to go to places where you can truly relax and take your mind away from work. If city life is taxing, opt for a scenic countryside vacation. If taking care of your kids feels burdensome, consider not bringing them along. You can choose to go alone or with loved ones.

After all, it’s your trip, and you wouldn’t want to end up more stressed out afterward!

Engage in Hobbies, Learn Something

Just as traveling to different places can expand your mind, so can learning something new or indulging in hobbies. Working hard without giving yourself time to explore can make life too monotonous. It’s difficult to become more creative if you’re exposed to the same things every day.

To balance the time you spend working and the time you don’t, find something else you really want to do. The better you become at other activities besides work, the fuller your life becomes. You will see the world from different perspectives, not just through the lens of your job, but also from what you’re learning.

One of the benefits of engaging in hobbies or learning something new is that it frees your mind from work. Having several activities to be involved in gives you more options to enjoy yourself. It’s like having a TV with multiple channels versus a TV with only one. You can always switch to another when you’re bored with what you’re watching.

There’s more to life than work. I’m sure you have a couple of hobbies or things you’ve wanted to learn but have been putting off. Well, make time for them!

Daily Reflection Time

Finally, you need to have time for yourself every day. No, I don’t mean spending time with your loved ones; I mean having time alone with your own thoughts.

We all need some time for ourselves, whether we are extroverts or introverts. It doesn’t have to be long; fifteen minutes a day is enough. This time allows you to be conscious of your goals, dreams, and life purpose. When you’re not aware of what you’re doing daily, weeks, months, and even years can slip by quietly. That’s fine if you know what you’re doing, but what if you don’t and miss out on what’s truly important to you?

Another benefit of taking time to think and reflect is that it allows you to temporarily distance yourself from work and other stressors. You might have existing issues that you can’t seem to solve, no matter how much you ponder over them. Sometimes, the answers to these problems pop up when you’re not focusing on them. This is likely because you are less tense, allowing your subconscious mind to figure things out for you.

One thing to be cautious about is the tendency to use this time to worry about work. This should be an opportunity to put things in proper perspective, not to burden yourself further with problems. If you tend to indulge in counterproductive ruminations, use this period to clear your mind instead. Try learning some simple meditation techniques to lower your stress levels.

Conclusion

The reason we often neglect our personal lives is that there don’t seem to be any deadlines, unlike our projects and tasks. Yet, it is crucial to maintain our personal lives, just like we should maintain our computers to keep them functioning at their best.

I’m not asking you to devote half your time to work and the other half to your personal life; that depends on you. I’m only reminding you that we need to offer ourselves time to focus on things that are more important in life than just work.

  • In addition to your online research, conduct a phone or Skype interview.

3. Take Extra Precautions

Arriving at a client meeting without having fulfilled her specific request will likely upset her, and negotiating with dissatisfied clients is a no-win situation. So initially, meet the brief’s requirements.

Pitching Your Concept

Once you’ve delivered on the client’s request, it’s time to showcase your alternative solution, the one you believe surpasses her original idea. This step involves more than just presenting a new design; it’s crucial to effectively pitch your concept to the client.

Overloading yourself with work in pursuit of earnings is understandable but risky. Remember, feeling tired is normal occasionally, but given that your income heavily relies on your productivity, frequent downtimes are a luxury you can’t afford.

If you’re encountering difficulties managing your workload, and reducing your client list isn’t feasible, or if you’re thinking about taking on another project, these strategies might be just what you need.

Know Yourself

Before delving into the tools and techniques for effective multitasking, it’s crucial to consider a key factor: you, the freelancer. Your unique mix of strengths and weaknesses plays a pivotal role in how well you can handle multiple clients.

Your personal traits directly influence your capacity to manage various projects simultaneously. For instance, if you’re naturally a quick worker or good at multitasking, managing 10 clients could be feasible. However, if you’re prone to working at a slower pace, experience health issues often, or struggle with stress, opting for fewer, lighter, or more lucrative projects might be ideal for you.

Be Clear On The Project Details Per Client

Now that you know yourself, it’s time to get to know your clients and what they expect from you. You can do this by asking questions related to the project, such as:

Often, your expected output may not be the same as that of your client’s. If you’re a writer, for instance, you may think that filling your client’s website with five 1,000-word blog posts is better than your client’s proposal of 10 500-word posts. Discuss and iron out these concerns before anything else.

What Are My Responsibilities?

Make sure you know exactly what tasks you’re expected to perform, and to what extent. Otherwise, you’ll easily fall victim to “scope creep”, or a situation where you end up taking on more work than you signed up for – and not getting commensurate compensation for it!

How Long Is The Project Going To Take?

Some freelance projects take a few months to wrap up. Others may turn into ongoing relationships that last for years. Ask your client whether s/he has an estimated project timeframe, and if there’s a possibility that the project may be extended.

How Often Are You Expected To Communicate With/Update The Client?

If you’re lucky, your client will trust you enough to leave you to your own devices. Otherwise, set a regular schedule for meetings and updates (e.g. 30 minutes every Friday at 8 AM in your client’s timezone).

What’s The Payment System?

PayPal may be the most convenient payment option if you and your client are literally continents apart, but your client may prefer other services. Also, discuss with your client whether you prefer to be paid upfront or by the end of the project. (Hint: For your protection, it’s best if you receive at least partial payment upfront.)

Once you’ve covered all bases, decide whether you want to accept the project, given your current workload, financial needs, career goals, values, and personality. If it’s a “Yes”, create a contract tailored to each client. A contract ensures that the project’s terms and conditions are clear to all parties, and will save you plenty of headaches should any problems arise in the future.

Be Professional

After considering the details mentioned above, it should be easier to create a schedule. Keep in mind that each of your clients expects you to do your work to the best of your ability, so make sure you give enough time for each project – with reasonable allowance for emergencies.

In case emergencies do happen (e.g. sickness, accidents, hardware failure), inform your affected clients as soon as possible. As long as you’ve already proven to them that you are a trustworthy, reliable, and skilled professional who’s serious about overcoming a temporary setback, they should understand. (If they don’t, wrap up the project as soon and as well as you can, and let them go – nicely! – without giving them any indication that you want to work with them again.)

If one project begins to conflict with another for any reason (e.g. one client springs last-minute revisions on you, forcing you to abandon a project with another client), decide which project you will do first, and which one will be temporarily left in the back burner. For the latter, you may be forced to ask for deadline extensions, as the case may be. (Don’t overdo it, though!)

This one is debatable, as pointed out here, since the tools are only as good as the people who use them. However, if you’re the type of person who prefers to concentrate on your multiple projects rather than think too much about details like the number of work hours logged, these sort of tools can be handy.

Do you have more than a couple of notebooks filled with writing from cover to cover? When writers first start, they write anywhere and everywhere. As children, we write on walls, then in journals, books, and notebooks. Later, we find ourselves scribbling ideas on cocktail napkins and the backs of envelopes when nothing else is handy.

Do children prefer you tell them a story of your own making rather than from a book? Kids can spot a storyteller a mile away. The very first time you tell a story, you might as well hang a sign around your neck that only children can read, proclaiming you a storyteller.

When you come across a word you do not recognize, do you NEED to find its meaning? Writers are wordsmiths. We love to come across words we do not understand and more often than not, we can deduce the meaning by simply reading it in a sentence or from the context of the paragraph.

Still, we have to know for sure. We keep several dictionaries and a thesaurus or two lying around the house. Does this sound like you?

10. Board Games Are Fun!

Do you find words more fun than a barrel full of board games? When it comes to playing games, most people like cards, monopoly, or other board games that move quickly or involve very little brain power. For them, fun means cycling down the mind and operating on autopilot.

11. Long-Term Part-Time Job

Do you write whenever you get the chance, despite a hectic lifestyle or a tiring career? A natural-born writer can’t help themselves. If they’re not writing, they’re thinking about writing. If they work 16 hours a day, they sleep six, write for one, and spend the rest driving back and forth.

And then, there are people who think they are writers, who are in the zone for a temporary high, but are basically not in it for the long haul. Are you on this side of the fence?

1. No To Criticism!

Do you take criticism well? If you are turned down by a publisher or told by someone, in whose opinion you hold no value, that you cannot write well and it just rolls off without the sting of being cut by a sharp knife, you may not be a writer. One thing almost all writers have in common is that we are a sensitive bunch, with feelings easily hurt when it comes to our life’s ambition.

We do not become easily dissuaded or disillusioned, but it hurts intensely when someone tells us we are not good at what we dedicate our lives to, regardless of who it is. This deep sensitivity stems from the immense amount of heart a writer puts into their work.

2. Bells And Whistles

Do you detest some aspects of writing, like editing or proofreading, rewriting or researching? Any writer who tells you they hate to edit or that research is tedious is likely just telling you what they think you want to hear. The fact is, writing is not just about putting down meaningful words for us. We may whine and moan about some parts of our profession, but we wouldn’t want to be doing anything else.

We even love the most tedious parts of what we do. If you truly dislike editing or researching, you might be good with words, but are you truly in love with the profession?

You’ll find us scribbling endlessly on scrap paper, writing during our lunch breaks at a corner table, and sitting at our computers for 20 hours at a time. We write because we must. Ever pondered what makes a great writer stand out from the rest? Talent seems like the obvious answer. Yet, even great writers would dispute that. There are countless writers with immense talent who never quite make it. They hesitate at a crucial juncture, preventing their breakthrough.

Many have studied the legends, from modern masters like Stephen King to ancient thinkers like Cicero, to uncover their secrets. Blending their insights with my research, I’ve gleaned valuable lessons.

Here, I share wisdom from these literary giants, past and present, aimed at us, the aspiring writers.

1. The Challenge of Writing Well

There was a time when I prided myself on my quick writing. Then, I realized true writing mastery isn’t about speed. Comparing my work to a slower, yet exceptional writer, I saw that rushing was my hindrance, not a strength.

2. The Harsh Reality of Writing

Stephen King, in his book “On Writing: A Memoir of the Craft” (2000), states:

“…it is impossible to make a competent writer out of a bad writer, and while it is equally impossible to make a great writer out of a good one, it is possible, with lots of hard work, dedication, and timely help, to make a good writer out of a merely competent one.”

King’s words suggest that while I may never reach the pinnacle of writing greatness, there’s still hope for becoming a good writer. And that’s a journey I’m content with, as long as I keep writing.

3. Mastering the Basics

One universally acknowledged truth among writers is the importance of mastering the basics. Whether you’re brushing up on old lessons or diving into new courses, understanding the fundamentals of writing is crucial.

Revisiting grammar, expanding your vocabulary, and studying the elements of style are invaluable steps for writers at any level.

4. Expressing Thoughts vs. Speaking Out Loud

The debate between expressing unfiltered thoughts and carefully articulating opinions in writing is ongoing.

Walter Benjamin, a notable author, believed in 1938 that great writers avoid oversharing personal thoughts. Instead, they focus on sharing well-considered opinions. This approach prevents writers from having to retract their words and maintains a level of professionalism and thoughtfulness in their work.

Focusing on details is crucial for good writing, but great writing requires more. Clive James discusses this balance, emphasizing that too much adherence to rules can lead to dull writing.

While attention to grammar, syntax, and style is important, overemphasis on these aspects can stifle a writer’s unique voice. Striking the right balance is key to ensuring your writing is both technically sound and engagingly creative.

6. Embracing Imperfection in Writing

Julia Cameron offers a gem of advice for writers: be brave enough to write imperfectly. Initially, I thought she was promoting a devil’s advocate approach, but it’s deeper than that.

She suggests that writers should pour out all their thoughts on a topic, no matter how unrefined, and then refine and remove the less effective parts later. This process often reveals that some of the ‘bad’ content is actually quite valuable.

7. The Value of Every Resource

My experience with Zippo lighters taught me a lesson in resourcefulness. I’d use disposable lighters and discard them, until my wife started salvaging the flints.

This habit reminded me of the importance of utilizing every resource available, including editors. Gardner Botsford in “A Life of Privilege… Mostly” (2003), emphasizes this, stating that good writers depend on editors and would never dream of publishing unedited work. The less competent a writer, the more they resist editorial input.
